What is www.managemeet.com?

ManageMeet is a online-service enabling interaction and successful meetings with your team. ManageMeet let’s you plan, collaborate and interact on all kinds of meetings. And you´ll can download and share your meeting minutes instantly after your meeting.

 

Who uses ManageMeet?

Managemeet is intended to be used in business enterprises, the public and government sector and non-profit organizations. You could use ManageMeet in your management team, in your project or in your unit. Or, to get the most out of ManageMeet, across the whole organization.

 

Can I use www.managemeet.com in a live meeting?

Of course! And use it before the actual physical meeting too. Your participants will appreciate that you value their time and let them prepare when they want.

 

Is there a maximum of participants in a meeting?

No. However as an meeting organizer you should always consider the relevant number of participants.

If you already have an account, just click on Lost password and a link is sent to your email. Follow the link to set your new password. The link is valid only once and for 24 hours.

Security

 

Is it secure?

Technically we take appropriate actions to ensure security. Eg. MeetingIDs and meeting passwords are all generated using verified algorithms. From the day we launched, we has supported something called https. Https keeps your information encrypted as it travels between your web browser and the ManageMeet server. Your bank and credit card websites use this same protocol to protect your financial data.

 

However we are all only humans. It will always be up to the user to take responsibility to what information that is handled and as well as how invitations are sent and to whom.

 

Who has access to my meeting?

Only you as the organizer and the ones you have shared the meetingID (and meeting password) with can access your meeting.

Meeting

 

Set the title of the meeting

Just double click on the title and change it.

 

Open and close a meeting

When a meeting is open it mean that participants can join.

 

Invite to your meeting

Go to “Create invitation” and just click “Send with email client” and your email software will open.

 

Password protect your meeting

Go to “Create invitation”, check the box next to “Password protect this meeting” and ManageMeet will generate a password. Changes takes effect instantly. Be sure to share changes with the ones you want to know about it.

 

Change the password of your meeting

Go to “Create invitation” and look for “This meeting is now password protected”. Click the link “Generate new password” and click “Yes” to confirm. In the textbox you can view the new password.

 

Leave the meeting

Go to right on your screen and look for the X character, next to the silhouette of a user.

 

How many meetings can I have open at the same time?

You can have up 10 meetings running at the same time.

Agenda

 

How do I add activities to the Agenda?

Just click on the button “Add Activity” and choose one activity or one template under Group of Activities.

 

How do I change the title of an activity in the Agenda?

Just double click on the title and change it.

 

How do I change the order of the activities in the Agenda?

Just drag n’ drop the activity to the new position you want in the Agenda.

 

How do I change the description of the activity?

Just double click on the title and change it.

 

The lock besides the activity – how does it work?

The lock lets the organizer choose if the participant can add or not content in a module. The organizer can lock and unlock whenever needed. The change will take effect directly and be visible to all participants.

From a method point of view it is sometimes desirable to show all modules that are to be done in the meeting but only allow access to the first one(-s). The rest may be unlocked as the meeting goes ahead. Organizers can use this approach to help the team stay focused.

 

By accident I deleted an activity – is there a way I can restore it?

No.

 

Is there a maximum of activities that can be used in a meeting?

No. However you should consider the meeting purpose and the stamina of the participants.

Participants

 

View online participants

Click the silhouette of a user and find out who is participating at the moment.

 

Change your name/title in a meeting

Just click on the pen and the change your name.

 

Can I resend an invitation to a participant?

Yes. Click Create Invitation and then click “Sent with email client” and your email client (Outlook, Thunderbird, OSX Mail, Groupwise) will open up.

 

How do I deny an invited participant access to my meeting?

Set a meeting password under Create Invitation or change the one already set. Don´t forget to share the new password the ones you do want to participate.

 

How do I ban a participant from my meeting?

As above. Set a meeting password under Create Invitation or change the one already set. Don´t forget to share the new password the ones you do want to have in your meeting.

The Inform Activity

 

How do I use this activity?

The Inform activity could be used as a general bullet on the agenda, e.g. welcome or introduction.

Click on the text under the head line.

The Collect Activity

 

How do I use this activity?

Use this type of activity to gather information and knowledge from your participants. Let the your participants share ideas, business opportunities ,risks or whatever your meeting is all about.

 

Group similar posts and use folders to categorize and prioritize posts.

 

Are my postings really anonymous?

Yes. Nor the organizer or the other participants can view who posted which post.

 

How do I edit my post?

Just click the Edit icon on the post and it will be editable.

 

Add multiple posts at the same time

Paste a text list (eg. from email, Word or Excel) and paste it in the post field and click Add. ManageMeet will organize and split your pasted post into individual posts.

 

Who can delete my post?

Your team should be able to collaborate in an effective way. Therefore participants and the organizer can delete your posts.

 

Can deleted posts be restored?

Yes. The organizer can restore deleted posts. Deleted posts all end up in the Trash folder. Simply click on the Trash folder and drag the post to a folder.

 

How do I change the name of a folder?

Just click the Edit icon on the folder and it will be editable.

 

How can I see which participant that has submitted which post?

No. Anonymity is one of the key features in ManageMeet. The team should evaluate the post itself regardless of who has submitted it.

 

Is there a maximum of posts that can be used in a Collect module?

Theoretically no. However, to run an effective meeting you should consider the number of posts. Group posts or use folders and other activities to organize your information.

Preview and choose what content to include in your Report.

 

Why don´t I see the Report activity?

The Report activity is only visible and available to the organizer.

Subcription and Coupon Code

 

How do I get a Coupon Code?

Apply for an ManageMeet client account for your company by contacting sales@managemeet.com. Provide number of Coupons Codes wanted, full billing information your account responsible.

 

If your company already have an ManageMeet client account you should contact your account responsible to get a Coupon Code.

 

How do I change my Subscription?

Sign in, click the orange Subscription button and enter your new Coupon Code. Or click your email address and select My Subscription. Changes will take effect instantly.

 

What does the text on the orange Subscription button means?
– Sign up = Sign Up for an 30 day free trial Business account.
– Subscription ok = you are using a valid Coupon Code – everything is fine!
– Upgrade your account = your need a valid Coupon Code. Contact Sales or your ManageMeet responsible.
– Renew your subscription = your Coupon Code has expired. Contact Sales or your ManageMeet responsible.
– [X] days left = your Coupon Code is valid and you still got a few days left.
– [X] h and [Y] min left = your Coupon Code is valid but you now only got a couple of hours left.
– [X] months and [X] days left = your Coupon Code is valid and you still got many days left.

 

What will happen when the Coupon Code expires?

All your meetings will be closed to your participants and you won’t be able to access your own meetings. In order to access and open your meetings you have to enter a valid Coupon Code.
